DataDot Technology Group — Privacy Policy

Objective

DataDot operates a secure, restricted-access portal designed exclusively for verified law enforcement personnel in the United Kingdom (UK) and the United States of America (USA). The sole purpose of this site is to assist law enforcement in asset identification by providing authorized officers with the ownership identity of individuals who have assets marked by Datadot / DNAPlus forensic coding material. We are committed to safeguarding the data of both our registered law enforcement users and the asset owners registered in our database.

Datadot is committed to protecting personal information, and to complying with the Privacy and Personal Information Protection Act and the National Privacy Principles.

1. Scope of Data and Jurisdictions

This policy applies to DataDot Technology Limited, DataDot Technology (Australia) Pty Limited, DataTraceID Pty Limited, DataDot Technology (USA) Limited, DataDot Technology (UK) Limited, and any other legal entities in the DataDot Technology Group.

This policy governs data processed for and accessed by:

  • UK Law Enforcement: Including Home Office Police forces, Police Scotland, Police Service of Northern Ireland (PSNI), and other designated UK criminal justice authorities.

  • US Law Enforcement: Including local, state, tribal, and federal law enforcement agencies.

2. Information We Collect and Process

A. Forensic Asset Ownership Data (The Database)

To facilitate property recovery and crime investigation, we hold personal contact data regarding individuals who have registered assets protected by DataDot / DNAPlus forensic marking. When a law enforcement officer queries a unique DNAPlus forensic code, the system discloses:

  • The registered owner's full name and contact details (address, phone number, email).

  • Date of registration and insurance provider.

B. Law Enforcement User & Authentication Data

To ensure only authorized personnel access this data, we collect from police users:

  • Identity Data: Full name, badge/collar number, rank/title, and originating agency/department.

  • Contact Data: Official agency-issued email address (.gov, .police.uk, etc.) and official telephone number.

C. Security Auditing Logs

To meet strict statutory requirements in both the US and UK, our system maintains an immutable audit trail logging:

  • The identity of the officer making a query

  • The specific forensic code in question

  • The exact time, date, and justification for the search

3. Data Retention and Deletion

  • Asset Owner Data: Ownership data linked to a forensic code is retained for the lifespan of the forensic product registration or until requested otherwise by the registered owner (subject to any active law enforcement holds).

  • Police Audit Logs: Log files tracking which officer looked up which asset are retained for a minimum legal period (typically 7 years) to satisfy judicial accountability, chain-of-custody requirements, and professional standards audits in both the UK and US.

4. Security

Security measures include firewalls to prevent hacking, confidentiality clauses in employee agreements, password-protected database access, and document shredders for disposal of written information.

5. Children Under The Age of 18

DataDot does not intend to collect personal information from individuals under 18 years of age and will not knowingly provide any such information to any third party.

6. Contact and Compliance
